These Terms & Conditions apply to events organised by EP Events, including attendance at our events, vendor applications, stall bookings, workshops, activities and general use of our event services.
By attending an EP Events event, purchasing a ticket, submitting a vendor application, booking a stall, or taking part in an event, you agree to these Terms & Conditions.
1. About EP Events
EP Events organises and manages events, markets, community experiences, workshops and related activities.
Event-specific details, including dates, times, locations, ticket prices, vendor fees, setup instructions and event rules, will be provided separately for each event. Where event-specific terms are provided, they should be read alongside these general Terms & Conditions.
2. Event information
We aim to provide accurate event information at all times. However, event details may occasionally change, including timings, venue arrangements, layouts, activities, workshops, vendors, performers, speakers or other event features.
EP Events reserves the right to make reasonable changes where necessary. We will try to communicate significant changes as soon as reasonably possible.
3. Tickets, bookings and entry
Attendees must hold a valid ticket, booking confirmation or approved entry method where required.
Entry may be refused if a ticket or booking cannot be verified, if the attendee arrives outside permitted entry times, or if EP Events or venue staff reasonably believe entry would cause a safety, security or operational concern.
Tickets, bookings and event spaces are subject to availability and any event-specific entry requirements.
4. Vendor applications and stall bookings
Submitting a vendor application does not guarantee a stall or space at an EP Events event.
Applications are reviewed by EP Events and may be accepted or declined based on suitability, availability, event layout, category balance, brand fit and operational requirements.
Where a vendor application is accepted, the stall or space is only confirmed once all required payment has been received and confirmation has been issued by EP Events.
Vendors must comply with all event-specific vendor guidance, setup instructions, venue rules and any additional terms provided for the relevant event.
5. Payments, cancellations and refunds
All ticket prices, vendor fees, payment deadlines, refund rules and cancellation terms will be confirmed for each individual event.
Unless stated otherwise in the event-specific terms, tickets, bookings and vendor fees may be non-refundable once confirmed.
If an event is cancelled, postponed or rescheduled, EP Events will confirm the available options to affected attendees or vendors.
EP Events is not responsible for additional costs incurred by attendees or vendors, such as travel, accommodation, stock, staffing, parking or other expenses, unless required by law.
6. Conduct and safety
All attendees, vendors, staff, contractors and participants are expected to behave respectfully and responsibly.
EP Events reserves the right to refuse entry or remove any person from an event if their behaviour is considered unsafe, disruptive, abusive, discriminatory, threatening, inappropriate, or in breach of these Terms & Conditions or venue rules.
Everyone attending or taking part in an EP Events event must follow instructions given by EP Events staff, venue staff, security teams or authorised representatives.
7. Children and supervision
Where children attend an EP Events event, they remain the responsibility of their parent, guardian or responsible adult at all times.
Parents and guardians are responsible for supervising children and ensuring they take part in any activities safely and appropriately.
EP Events does not accept responsibility for unsupervised children.
8. Vendors’ responsibilities
Vendors are responsible for their own products, services, stock, equipment, displays, staff, insurance, licences, permissions and legal compliance.
Vendors must ensure that anything they sell, supply, display or promote complies with all relevant laws and regulations, including product safety, food hygiene, allergen information, trading standards, insurance, licences and permits where applicable.
EP Events may ask a vendor to remove any product, display, material or activity that is unsuitable, unsafe, unauthorised, offensive, misleading or not in keeping with the event.
9. Venue rules and property
All attendees and vendors must respect the venue and follow any venue rules in place.
Damage to the venue, fixtures, fittings, furniture, flooring, equipment or property caused by an attendee, vendor or their representatives may be charged to the person or business responsible.
Vendors must keep their stall area clean, tidy and safe, and must leave their space clear of rubbish and belongings at the end of the event.
10. Photography and filming
Photography and filming may take place at EP Events for marketing, promotional, press, website and social media purposes.
By attending or taking part in an event, you acknowledge that you, your stall, your products, your branding or your representatives may appear in photo or video content.
If you have concerns about being photographed or filmed, please speak to a member of the EP Events team at the event where possible.
Attendees and vendors may take their own photos and videos, provided this is done respectfully and does not disrupt the event, block walkways, interfere with traders, or invade the privacy of others.
11. Personal belongings and property
Attendees and vendors are responsible for their own belongings, stock, equipment, money and personal items.
EP Events is not responsible for loss, theft or damage to personal property, stock or equipment, except where required by law.
12. Liability
Nothing in these Terms & Conditions limits or excludes liability where it would be unlawful to do so.
EP Events is not responsible for any loss, damage, injury, delay, cancellation, disruption or expense caused by circumstances outside its reasonable control.
Attendees and vendors take part in events at their own risk and are responsible for following all safety instructions, venue rules and event guidance.
13. Privacy
EP Events will handle personal information in accordance with its Privacy Policy.
Personal information provided through contact forms, ticketing, applications or event communications will only be used for relevant event, enquiry, application or business purposes, unless you have agreed otherwise.
