EP Events respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use and store your information when you contact us, submit an enquiry, or apply for a stall at one of our events.
This policy is intended to be clear and simple. The ICO says privacy information should explain why personal data is used, how long it is kept, who it is shared with, and what rights people have.
1. Who we are
EP Events is the data controller for the personal information you provide through our website, contact forms and stall applications.
You can contact us about this Privacy Policy or your personal information at:
Email: info@epevents.co.uk
Website: www.epevents.co.uk
2. What information we collect
We may collect personal information when you:
complete a contact form on our website;
submit a stallholder, vendor or exhibitor application;
email us directly;
communicate with us about an event, application or enquiry.
The information we collect may include:
your name;
your email address;
your phone number;
your business or brand name;
your social media handle or website;
information about the products or services you offer;
any message or information you choose to provide in a form or email.
We only ask for information that is relevant to your enquiry or stall application.
3. How we use your information
We use your personal information to:
respond to your enquiry;
review and manage stallholder or vendor applications;
contact you about your application;
provide information about the event you have enquired about or applied for;
keep basic records of enquiries and applications;
manage communication between you and EP Events.
We do not sell your personal information.
We do not use your information for unrelated marketing unless you have clearly agreed to receive marketing communications from us.
4. Our lawful basis for using your information
Under UK GDPR, we must have a lawful basis for using your personal information. The ICO explains that organisations must identify a lawful basis before processing personal data.
For contact forms and stall applications, we usually rely on one or more of the following lawful bases:
Legitimate interests
We may use your information where it is necessary for our legitimate business interests, such as responding to enquiries, reviewing applications, and managing communication with potential vendors or event participants. The ICO says legitimate interests may be appropriate where information is used in ways people would reasonably expect and where there is minimal privacy impact.
Contract or steps before entering into a contract
Where you apply for a stall or discuss booking a space at an event, we may use your information because it is necessary to take steps before entering into a contract with you, or to manage a contract if your application is accepted.
Consent
If we ever ask you to opt in to receive marketing emails, we will rely on your consent for that specific purpose. You can withdraw consent at any time.
5. Who we share your information with
We only share your information where necessary.
We may share limited information with:
members of the EP Events team;
website, email, form or cloud storage providers that help us operate our business;
event venues or event partners, where this is necessary to manage your stall or application;
professional advisers, if required;
legal or regulatory authorities, if we are required to do so.
Any third-party service providers we use should only process your information for the purpose of providing services to us.
6. How long we keep your information
We only keep your personal information for as long as necessary.
As a general guide:
contact form enquiries may be kept for up to 12 months after the enquiry is resolved;
unsuccessful stall applications may be kept for up to 12 months after the relevant event;
successful stallholder information may be kept for up to 6 years where needed for business, tax, accounting or legal record-keeping purposes.
If we no longer need your information, we will delete it or anonymise it.
7. How we protect your information
We take reasonable steps to keep your personal information safe and secure.
This may include:
limiting access to personal information;
using password-protected systems;
storing information securely;
only sharing information where necessary;
deleting information when it is no longer needed.
However, no online system is completely secure, and we cannot guarantee the absolute security of information sent through the internet.
8. Your rights
Under UK data protection law, you have rights over your personal information. These may include the right to:
ask for a copy of the personal information we hold about you;
ask us to correct inaccurate or incomplete information;
ask us to delete your information;
ask us to restrict how we use your information;
object to how we use your information;
withdraw consent, where we rely on consent;
complain to the Information Commissioner’s Office.
The ICO says privacy notices should tell people about their rights, including access, rectification, erasure, restriction, objection and data portability where applicable.
To exercise your rights, please contact us at:
info@epevents.co.uk
9. Marketing
We will only send you marketing emails if you have opted in or where we are otherwise legally allowed to do so.
You can unsubscribe from marketing emails at any time by contacting us at info@epevents.co.uk or using the unsubscribe option in our emails, if available.
Submitting a contact form or stall application does not automatically mean you have agreed to receive marketing emails.
10. Cookies and analytics
Our website may use cookies or similar technologies to help the website work properly or to understand how visitors use the site.
If we use non-essential cookies, such as analytics or marketing cookies, we will provide clear information and, where required, ask for your consent.
11. Links to other websites
Our website may contain links to other websites, such as ticketing platforms, venue websites, social media pages or vendor websites.
We are not responsible for the privacy practices of those third-party websites. You should read their privacy policies before providing them with your information.
12. Complaints
If you have any concerns about how we use your personal information, please contact us first so we can try to resolve the issue.
You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.
